1. Who is responsible

Synclair Vision AB, organisation number 559390-5242, Teknikringen 7, 583 30 Linköping, Sweden, is the controller for the personal data described here.

2. What we collect and why

When you book a meeting

Booking happens in Microsoft Bookings. You can book as a guest or sign in with a Microsoft work or school account. When you book, you give your name, your email address and any notes you choose to add, and you pick a time. Microsoft sends a code to your email address to confirm it, processes the booking on our behalf and places the meeting in our calendar. This website itself does not collect or store any booking details.

We use this to hold the meeting and follow up on it. The legal basis is to take steps you have asked for before a possible agreement (Article 6(1)(b) GDPR) and our legitimate interest in answering business enquiries (Article 6(1)(f) GDPR).

When we meet

Meetings are held in Microsoft Teams unless you ask for another platform. We may use the AI-assisted transcription in Microsoft Teams to keep accurate meeting notes and follow up on what we agreed. If you prefer not to be recorded or transcribed, tell us at the start of the meeting and we will not do so. The legal basis is our legitimate interest in keeping accurate records of business meetings (Article 6(1)(f) GDPR).

When you visit the website

Our hosting provider automatically records technical data: your IP address, browser type, the page requested and the time of the request. This is needed to deliver the website and keep it secure. The legal basis is our legitimate interest in running a secure website (Article 6(1)(f) GDPR).

We do not use your data for automated decision-making or profiling, and we do not sell personal data.

3. Cookies and tracking

This website does not use cookies, analytics, advertising tools or any other tracking. Fonts, images and video are served from our own website, so your visit is not shared with third-party content providers. Because this website stores nothing on your device, there are no cookie choices to make here.

The booking page itself is run by Microsoft. Microsoft may use cookies and record technical data there; see the Microsoft Privacy Statement.

4. Who can see your data

Only the people at Synclair Vision AB who handle meeting requests, and service providers that process data on our behalf under a data processing agreement:

• Website hosting: Vercel Inc.
• Meeting booking, email, video meetings and meeting transcription: Microsoft 365 (Microsoft Bookings, Outlook and Microsoft Teams)

We disclose personal data to authorities only when the law requires it.

5. Transfers outside the EU/EEA

Microsoft 365 keeps data for EU customers within the EU under Microsoft's EU Data Boundary. Some of our service providers are based in the United States. Where personal data is transferred outside the EU/EEA, we rely on the European Commission's adequacy decision for the EU-US Data Privacy Framework where the provider is certified, or on the European Commission's standard contractual clauses.

6. How long we keep it

• Meeting bookings and meeting notes: kept in our Microsoft 365 calendar and mailbox for 18 months after our last contact, then deleted, unless the meeting leads to a business relationship, in which case we keep what that relationship requires.
• Technical logs: kept by our hosting provider for a limited period, for security and operation.

7. Your rights

Under the GDPR you have the right to:

• access the personal data we hold about you,
• have incorrect data corrected,
• have your data erased,
• restrict how we process it,
• object to processing based on our legitimate interest,
• receive data you gave us in a portable format.

If you think we handle your data incorrectly, you can complain to the Swedish Authority for Privacy Protection (Integritetsskyddsmyndigheten, IMY) at imy.se.

8. Changes to this policy

We may update this policy. The current version and its effective date are published on this page.
